Ltd.(“Gradus”, “we”, “us”) collects, uses, and protects information when schools, staff, parents, and students use the Gradus platform, mobile apps, and website (together, the “Services”). We act as a data processor on behalf of the schools that subscribe to Gradus, and as a data controller for our website and account administration.
1. Information we collect
We collect only what is needed to run school operations:
- Account & staff data — names, roles, email addresses, and phone numbers of school administrators and teachers.
- Student records — name, class/section, attendance, grades, assessment results, and fee status, as entered by the school.
- Parent/guardian data — contact details and the link to their child's record.
- Transport & pickup data — bus routes, GPS location during active trips, and pickup verification events.
- Technical data — device type, app version, IP address, and log data used to keep the Services secure and reliable.
2. How we use information
- To deliver core features: attendance, evaluations, communication, fees, and secure pickup.
- To send operational notifications to the right people (e.g. a parent when their child is checked in).
- To generate AI-assisted, syllabus-based evaluations and insight reports for teachers and parents.
- To secure the Services, prevent abuse, and maintain audit trails.
- To provide support and improve performance and reliability.
We never sell personal data, and we never use student data to serve advertising.
3. Student & children's data
Student information is provided and controlled by the school. We process it strictly on the school's documented instructions and in line with applicable laws, including the principles of GDPR and COPPA. Schools are responsible for obtaining any parental consent required under local law before adding a student to Gradus.
4. Legal bases for processing
Where GDPR applies, we rely on (a) performance of our contract with the school, (b) the school's legitimate interest in running its operations, and (c) compliance with legal obligations. Schools determine the lawful basis for processing the student data they upload.
5. How we share information
We share information only as needed to operate the Services:
- Within a school — on a strict role-based, least-privilege basis.
- Service providers — vetted infrastructure, hosting, and messaging partners bound by confidentiality and data-protection terms.
- Legal — where required by law or to protect the safety of students and users.
We do not share personal data with third parties for their own marketing.
6. How we protect data
Data is encrypted in transit with TLS 1.3 and at rest with AES-256. Access is governed by role-based permissions, every sensitive action is logged, and student pickup is protected by a rotating, GPS-verified code. We maintain a 99.9% uptime target and review our controls on an ongoing basis.
7. Data retention
We retain personal data for as long as a school's account is active and as needed to provide the Services. When a school leaves Gradus, we delete or return its data within a reasonable period, subject to any legal retention requirements.
8. Your rights
Depending on your location, you may have the right to access, correct, export, or delete personal data, or to object to or restrict its processing. Because schools control student data, please direct student-related requests to your school; we will support the school in fulfilling them. For all other requests, contact us at info@gradus.world.
9. International transfers
Gradus is operated from India. Where data is transferred across borders, we use appropriate safeguards consistent with applicable data-protection law.
